Position Title: Church Administrator
Location: Encounter Baptist Chadstone, Chadstone, Victoria
Duration: 8 hours/week worked flexibly by agreement (days & office/remote)
Compensation: $25.74 to $32.45 Hourly
Reports To: Senior Minister

THE CHURCH
Encounter Baptist Church is a small, vibrant, multigenerational Church in the Eastern suburbs of Melbourne. We are a group of people who are committed to learning how to follow Jesus in our everyday lives and​ making a difference in the community.
POSITION OBJECTIVE
To provide leadership and effective administrative support to underpin the operations of Encounter Baptist Church and enable its various ministries to flourish.
OVERVIEW OF THE ROLE
By coordinating with the senior minister and leaders of various ministries, the Church Administrator will support the operations of Encounter Baptist Church by managing:

Safe Church and OH&S Compliance and other statutory requirements

General Administration.
This role is essential to ensuring the church operates smoothly and safely.
THE POSITION
The appointment to this position will be a part time position of 8 hours per week. These hours can be averaged over 4 week periods in coordination with the senior minister. If extra hours are required at specific times that will be managed by time in lieu or overtime.
This position can be worked from home and/or at the church office. The days, times, and location of the work will be agreed with the senior minister.
The appointment will be for an initial period of 12 months, with a 3 month review. After the initial 12 months we aim for the position to become ongoing.
THE REMUNERATION
To be determined by negotiation in line with the Clerks—Private Sector Award 2020 and commensurate of skills and experience (expected Level 2 or Level 3). Range is

The successful candidate will be a self-motivated team player with relevant experience in an administrative role, highly developed interpersonal skills, a willingness to learn and embrace use of technology, and a proactive approach to problem solving.
ESSENTIAL QUALITIES

Be a committed Christian in agreement with our statement of faith who upon appointment would become part of the fellowship of EBC.

The successful candidate would be expected to come to several Sunday services and/or church events each year to build recognition and relationships. They may choose to attend the church on a regular basis but that is not a requirement for the role.

Be able to work in harmony with, and for the mutual benefit of all church ministries.

Have relevant experience in an administrative role.

Competent in clerical and administrative/computer skills (Word, Excel, online platforms etc)

Sound oral and written communication skils

Experience in writing policies or know how to go about the task.

Highly developed interpersonal skills.

A self-starting team player with a positive attitude, with the ability to work in unsupervised situations.

POSITION DUTIES AND RESPONSIBILITIES
These duties include a range of weekly, monthly, seasonal and annual items. We expect items which are less time specific will be fitted around regular/time specific items within work hours.
Communications

Prepare, edit and distribute weekly eNews

Maintain social media presence

In consultation with the Pastor, explore other internal and external communication avenues, including social media and local community engagement
Facilities Management

Manage the church calendar of events and bookings

Oversee booking requests and arrangements for use of the church facility

Coordinate electronic access to the building

Coordinate with the church maintenance volunteers and external contractors
Safe Church, Compliance, and Policy

Manage our Safe Church processes including overseeing and maintaining records and follow-up relating to Personal Information Consent Forms, Working with Children Checks, National Police Checks, First Aid qualifications and Ministry Volunteer Code of Conduct forms etc.

Coordinate compliance standards to ensure effective risk management practices according to BUV and legal requirements. This includes managing our OH&S requirements through the BESafe platform.

Oversee the church policy register and assist with the periodic review of documents. the Church Secretary.
General administration

Arrange for collection of mail and responses to church office email.

Document storage and record keeping.

Arrange the purchasing of office and cleaning supplies, and maintenance of office equipment

Other duties as agreed.
PERFORMANCE REVIEW
The Church Office Administrator will participate in an annual performance review. The employer and employee may also request these at any time. Performance will be measured against key result areas that are determined and developed in advance.
